Mark as Position filled

Position filled is a request status that marks an interim request as successfully closed, a role has been filled by a signed candidate. It gives suppliers a clear outcome rather than a request that quietly stops accepting submissions, and gives your team an accurate record of why sourcing ended.

What Position filled means

When a request is marked as Position filled:

  • The candidate pipeline becomes read-only. No new candidates can be added and evaluation actions are no longer available.

  • Invited suppliers receive an email and can no longer submit candidates.

  • The Position filled status is visible to everyone — your team and suppliers.

  • Chat with the signed candidate stays active, so onboarding communication continues without interruption.

Position filled is distinct from Closed. A closed request can mean sourcing was paused for any reason. Position filled specifically means a candidate was signed, a useful distinction for suppliers tracking the outcome of their submissions, and for your own reporting.

How a request becomes Position filled

After signing a candidate

When you sign a candidate on an interim request, Fill prompts you to close the request as Position filled. Confirm to close it immediately, no separate step needed.

If you are running a multi-hire process and want to keep receiving candidates after signing, skip the prompt. The request stays open.

Manually

You can also mark any interim request as Position filled at any time:

  1. Open the request.

  2. Click the three-dot menu in the top-right corner.

  3. Select Close request.

  4. Choose Position filled.

  5. Add an optional message for suppliers, then click Change and notify.

What suppliers see

Suppliers see a Position filled status on the request and receive an email when the status changes. They cannot submit further candidates. This gives them a clear outcome and the context they need without having to ask.

Reopening a Position filled request

If a hire falls through or you need to source again, you can reopen the request at any time. Reopening restores the request to active status and notifies invited suppliers that submissions are open again.

To reopen: open the request, click the three-dot menu, and select Reopen request.
