Close and republish a request

Guide to closing requests and republishing them for new hiring cycles.

Written by Hanna Egeman

There are times when a request needs to be paused or reopened. Whether the role has been filled, priorities have shifted, or you're ready to start receiving candidates again, Fill makes it easy to manage the status of your requests.

Published means the request is live and open. Suppliers can submit candidates, and you can evaluate, interview, and sign candidates as normal.

Closed means the request is no longer active. Suppliers are notified and can no longer submit candidates. You can reopen it at any time.

Position filled (interim requests only) means the role has been filled by a signed candidate. Suppliers see a clear "Position filled" status — distinct from "Cancelled" — so they understand why no further submissions are accepted. You can reopen the request at any time if a hire falls through or you need more candidates.

Close a request when you sign a candidate (interim only)

When you sign a candidate on an interim request, Fill prompts you to close the request immediately — no separate step needed.

  1. After signing the candidate, you'll see an option to close the request as Position filled.

  2. Confirm to close — invited suppliers are notified, sourcing stops, and the request shows up as "Position filled" for everyone on the platform.

  3. Chat with the signed candidate stays active, so onboarding communication continues uninterrupted.

If you'd rather keep the request open after signing — for example, you're hiring multiple consultants for the same role — you can skip the prompt and continue receiving candidates as normal.

How to close a request

  1. Open the request you want to close.

  2. Click the three dots in the top-right corner of the screen.

  3. Select Close request.

  4. Choose the appropriate status (Closed, or Position filled for interim requests).

  5. Optionally, add a message for the suppliers explaining why the request is being closed.

  6. Click Change and notify. All invited suppliers will receive an email that the request has been closed.

How to republish a request

  1. Open the closed request you want to reactivate.

  2. Click the three dots in the top-right corner.

  3. Select Republish request.

  4. Choose the status Published.

  5. Optionally, add a message for the suppliers.

  6. Click Change and notify. Suppliers will be notified that the request is open again.

All requests — active, closed, and position filled — can always be found under All requests in the Request table.
