How Fill works
Set up your organisation
Before posting your first request, it’s a good idea to configure the basics. This ensures everyone in your organisation follows the same process from the start.
Start by inviting colleagues and assigning the right access levels through Invite users. You can also connect your calendar via Connect your calendar to make interview scheduling smoother later on.
Manage suppliers and control outreach
Suppliers are a central part of Fill. By defining which suppliers your organisation works with, you control who receives requests and keep outreach consistent.
In Fill, you can build a curated supplier network by using Invite new suppliers and managing them through Preferred suppliers. This ensures that all users send requests to the same trusted partners and reduces the risk of uncontrolled or duplicated outreach.
Post a request
Requests are where the process begins. In Fill, you can create requests for both consultants and permanent positions.
When posting a request via Posting a request, you define the role, scope, requirements, budget, and which suppliers should receive it. If your organisation uses approvals, the request is sent for review before being shared with suppliers.
Once submitted, suppliers can start posting candidates directly to your request.
Review and interview candidates
As candidates are submitted, you can review profiles, collaborate with your team, and manage next steps from the Candidate Card.
Interviews are scheduled directly from the candidate view and managed through Meeting and interview management. You can schedule interviews with or without a connected calendar, track meeting status, and use the automatically generated interview guide to support consistent interviews.
Select, contract, and assign
When you’ve chosen a candidate, Fill supports the transition from selection to engagement.
You can manage ongoing work through Consultants & assignments, handle continued engagements using Extensions, and connect external contract tools via Integrations when needed. This keeps assignment history, tenure, and contractual periods clearly documented.
Track activity and gain insights
Fill also gives you visibility across your organisation. Through Analytics, you can track assignments, consultants, spend, and supplier activity over time.
If you need to work with the data outside Fill, you can export tables using Export to Excel for further analysis or reporting.
