Finding the right talent shouldn’t be hard. This article shows how to set the right conditions for success.
A request is how you define your needs, share them with the right suppliers, and start receiving and evaluating candidates. This guide explains how to create and submit a request, what each option means, and what happens once it’s live.
Where to create a new request
When you signed in, you find the New Request button:
In the top-right corner of your Home screen or,
Navigate to Requests in the menu, and again in the top-right corner
You will then be asked to choose which type of request you want to create.
Consultant vs Permanent request
You can create two main request types, depending on your hiring need:
Consultant
Used when you are looking to engage a consultant for a specific assignment.
This path is usually faster, time-boxed, and includes assignment-specific details such as workload, dates, and budget.
Permanent Position
Used when you are hiring for a long-term or permanent role within your organisation.
This path includes more detailed information about employment form, collaboration with a recruiter, expected salary range, and the scope of support you want.
If you choose Permanent Position, you will then select between two ways of engaging recruiters:
Source Proposal – Request targeted proposals from multiple headhunters.
You describe the role, and each headhunter presents their tailored strategy or proposal for the search.
Open Search – Invite multiple headhunters to start sourcing candidates directly for the defined profile.
Use this when the role is clear and you want candidate recommendations rather than full search proposals.
Create a Consultant Request
After selecting Consultant, you’ll fill out a structured form to define what you are looking for. This helps both your internal team and suppliers understand the assignment clearly.
You will be asked to provide:
Job Title – The role title you want to fill.
Reason for recruitment – Why the assignment is needed.
Assignment classification – Time or Result (used to support LAS tracking)*.
Location – Where the work is based.
Workplace type – Remote, hybrid, or on-site.
Start and End date – The expected assignment period.
Workload – Percentage or hours per week.
Budget (hourly rate) – The financial framework you can offer.
Experience – Level or years of experience required.
Languages – Any language requirements.
Job description – A clear summary of the assignment’s purpose and expectations.
Suppliers – Select the suppliers who should receive the request.
Once completed, you Submit the form.
Create a Permanent Request
For Permanent Position requests, whether Source Proposal or Open Search, the form includes:
Job Title
Reason for recruitment
Location
Employment start (within how many months)
Form of employment – Permanent, fixed-term, or temporary.
Approximated salary
Experience
Education
Languages
Skills
Job description
What should the recruiter assist you with? – Choose where in the recruitment process you want support.
Collaboration with the recruiter – Remote, hybrid, or on-site.
Recruitment budget
Desired payment model – Fixed fee or ongoing.
Suppliers – Select the headhunters who should receive the request.
Submit when finished.
Approval flows (if enabled)
If your organisation uses an approval workflow, the request will not be sent to suppliers immediately.
Instead, when you click Submit for Approval, the request is sent for internal approval.
Once approved, the process continues as normal and suppliers receive the request automatically.
After submitting a request
Once your request is submitted (or approved, if applicable), you will see a Details view showing all details you provided. This becomes the central hub for monitoring your request.
As time goes on, suppliers will begin posting candidates directly to your request. You will receive an email notification each time a new candidate is submitted. You and your colleagues can review candidates, collaborate internally, and manage next steps within the request.
The request page clearly shows:
The current status of the request,
Which suppliers are involved,
All posted candidates and their progress,
And any internal communication or actions taken.
Collaborating on a request
Once candidates begin to appear, your team can:
Comment and coordinate
Book interviews
Test candidates
Complete background checks
Move toward contract creation or selection
Every step of the process is tracked, ensuring visibility and alignment across your organisation.
Once candidates start arriving, learn how to review and progress them in the candidate pipeline.
* Time or Result (used to support LAS tracking)
LAS is the Swedish Employment Protection Act, which regulates employment terms and protection in the workplace. Choose Time if the work is tracked by hours, or Result if it’s tracked by delivery/outcome. This supports the LAS tracking and helps you manage consultants more effectively.
