Hiring teams let you bring colleagues into a request so you can work on candidates side by side, without changing who owns it. It's the recommended way to collaborate on day-to-day request work in Fill.
Why use a Hiring team
Hiring teams are designed for the moments when several people need to act on the same request at the same time — for example, when two managers share responsibility for an assignment, or when a recruiter supports a hiring manager throughout the process.
With a Hiring team, your colleagues can:
Review candidates in parallel
Book and reschedule interviews
Move candidates through the pipeline
Communicate with suppliers about candidates
Everyone stays aligned because all activity happens on the same request, with shared visibility and notifications.
Hiring team roles
Each member of a Hiring team has a role that defines what they can do:
Recruiter — Full access to act on candidates: review, interview, communicate with suppliers, and progress candidates through the pipeline. Recruiters also receive notifications about the request.
Viewer — Read-only access. Viewers can follow progress and read supplier conversations but cannot send messages or take candidate actions.
The request owner always has full access and remains the primary contact for the request.
Adding colleagues to a Hiring team
You can add colleagues to a Hiring team from the request details view:
Open the request you want to collaborate on
Find the Hiring team section
Select Add member
Choose the colleague you want to add and pick their role — Recruiter or Viewer
The new member gets immediate access to the request and can start working on candidates straight away.
You can change a member's role or remove them from the Hiring team at any time, from the same place.
Hiring teams vs. transferring ownership
For most collaboration needs, Hiring teams are the right fit — you keep the request owner stable and add as many colleagues as you need.
Transferring ownership is for the rarer case where the primary person responsible for the request actually changes — for example, when a hiring manager goes on leave or a request is reassigned to another department.

Notifications and visibility
The request owner and all Recruiter members of the Hiring team receive notifications about the request — for example when a new candidate is submitted, when a supplier replies on a candidate, or when an interview is booked.
Viewers can see the request and follow along but do not receive notifications.

Can a Hiring team member change request settings?

Yes — Recruiters can send and receive supplier messages on candidates in the request. Viewers can read conversations but cannot send messages.
