Requesting a meeting
Meetings are scheduled from the Candidate Card. Users with access to manage the request can select Request meeting in the action bar to get started.
You’ll be asked to:
Select your availability
Choose the interview length (15, 30, 45 minutes, or 1 hour)
A scheduling link is then sent to the candidate, allowing them to choose a suitable time.
How scheduling works
If your calendar is connected, the meeting is automatically booked and appears in your calendar once the candidate confirms.
If your calendar is not connected, the meeting is still scheduled and confirmed for both parties, with no additional action required from you.
All meetings scheduled through Fill are digital and come preconfigured with a Google Meet link.
Tracking meeting status
Fill keeps interview progress visible on the Candidate Card:
Requested meetings appear as “Waiting for candidate to schedule”
Confirmed meetings display the date and time (for example: Dec 18, 2025, 10:00–10:30)
This makes it easy to see what’s pending and what’s booked at a glance.
Rescheduling or declining meetings
Once a meeting is booked, any changes are handled directly from the calendar event.
You can reschedule or decline the interview using your calendar, just like any other meeting invitation.
Booking follow-up meetings
If you need another conversation or a follow-up interview, simply request a new meeting from the Candidate Card. Each interview is managed individually, giving you full flexibility throughout the process.
Inviting colleagues
You can involve colleagues by adding them as attendees in the calendar event or by sharing the meeting link. This makes it easy to include hiring managers or other stakeholders in interviews.
The Interview guide
When the first interview for a request is scheduled, Fill automatically generates an interview guide tailored to the role and job description.
The user who scheduled the interview receives the guide by email
The guide is also available in the request for all users with access
It includes a PDF with role-specific interview questions
The interview guide is generated once per request and is designed to support a consistent, structured interview.
