Invite and add Suppliers to a request

After a request has been published, you may want to bring in additional suppliers. Fill lets you invite new suppliers to an active request at any time, so you can widen your talent pool as needs evolve.

Recommended suppliers when you create a request

When you create an Interim RFP (IRFP), Fill now suggests which suppliers from your Company Network to invite, instead of showing a flat A–Z list. This helps you assemble a consistent invitation list without relying on memory or side spreadsheets.

  • A pre-selected shortlist of network suppliers, each tagged Matching, based on the request's role, location, and skills together with each supplier's focus areas.

  • A "How suppliers were matched" summary so you can sanity-check what Fill used before sending.

  • Full control — deselect anyone, expand to your whole network, or add suppliers Fill didn't surface. Your choices always take priority.

  • Counters at the top of the Network step show how many matched suppliers are in your network, plus your marketplace reach.

  • If Fill doesn't have enough information to match, it shows your full network with nothing pre-selected — rather than a misleading shortlist.

Recommended suppliers apply to Interim RFP (IRFP) requests.

How to invite a supplier to an active request

  1. Open the request you want to invite a supplier to.

  2. Navigate to the Suppliers tab.

  3. You'll see a list of currently invited suppliers and their engagement data. In the top-right corner of the table, click Invite supplier.

  4. Choose how you want to add the supplier:

    Company network
    Select from your organisation's preferred suppliers.

    Marketplace
    Browse carefully selected suppliers from Fill's wider network.

    Other supplier
    Enter contact details for a specific supplier not yet on the platform. An invitation will be sent to them.

  5. Click Invite and the invitation will be sent out.

The supplier can now submit candidates to the request.

When to use which supplier category

Selecting the right category helps you control outreach and get the best responses:

  • Use Company network when working with your organisation's trusted, preferred suppliers.

  • Use Marketplace when you want to broaden your reach or access additional expertise.

  • Use Other supplier when you want to invite a specific supplier not yet on the platform.
