Using a connected calendar when scheduling interviews

Connecting your calendar helps you schedule interviews with better visibility into your existing commitments.

When your calendar is connected, Fill shows your existing meetings as blocked time slots when you choose interview availability. This helps you avoid conflicts while still allowing you to manually select the specific time slots you want candidates to book.

Why connecting your calendar helps

Connecting your calendar gives you better visibility when selecting interview times.

When you open the scheduling dialog, Fill can see when you already have meetings in your external calendar. These times appear as blocked, making it easier to avoid double-booking.

You still decide which interview times to offer to candidates.

Selecting interview availability

When scheduling an interview, you manually select the time slots that candidates can book.

If your calendar is connected:

  • Existing meetings from your external calendar appear as blocked

  • Interviews already scheduled through Fill also appear as blocked

  • Only the time itself is shown — no meeting titles or details

This creates a clear view of when you are unavailable while giving you full control over which times to offer.

What candidates see

Candidates only see the interview slots you selected as available.

When they open the booking link, they can choose one of the times you offered. The booking is then handled through the scheduling link, and the meeting is created with the selected video conferencing option.

Video meeting options

When your calendar is connected, Fill can support video meeting options such as:

  • Microsoft Teams

  • Google Meet

  • Zoom

The meeting link is included automatically when the interview is scheduled.

If your calendar is not connected

You can still schedule interviews without connecting your calendar.

However, you will not see your existing meetings while selecting availability, only the ones scheduled in through Fill. This means you may need to check your external calendar manually to avoid conflicts.

For the best scheduling experience, connecting your calendar is recommended.

Privacy and calendar data

When Fill reads your calendar availability, only the time of existing meetings is used.

Meeting titles, participants, and other details are not displayed in Fill.

This ensures your calendar information remains private while still preventing scheduling conflicts.
