Invite viewers to a request (Share report)

Share reports by inviting colleagues to access and view insights directly in Fill.

The Invite viewers (Share report) function allows you to share a request with colleagues who need visibility into the process, but who shouldn't be able to take actions such as moving candidates, interview, creating contracts or making decisions.

Viewers get read-only access to the request, with the ability to follow progress, review candidate information and leave comments for the team.

This is especially useful when hiring managers, stakeholders or team members need insight into what's happening, but don't require full permissions. By inviting them as viewers, you keep the process transparent and collaborative, without compromising control or governance.

Tip: You can also add Viewers through Hiring teams. If you need some colleagues to have full candidate actions (Recruiter access) and others to just follow along (Viewer access), Hiring teams lets you manage both from one place. How to share:

  1. Navigate to the request you want to share.

  2. Click the "Share" button in the top right corner.

  3. Click on the user you want to share with. This user will be moved from the right column to the left column. Now the request has been shared.

  4. If you want to re-do your action, just simply click the email in the right column and the user will be moved to the left side again. The user has no longer access to the request.


Viewers can:

  • See the full request and all its candidates

  • Read updates and follow the activity

  • Add comments to support the discussion

But they cannot:

  • Change candidate stages

  • Reject or progress candidates

  • Create contracts or take any actions that affect the request

As you might have noticed, Administrators does not appear in the list. This is because they already have access to all requests in the organisation.


In short, inviting viewers helps you involve the right people at the right time, while keeping responsibility and decision-making with those who are meant to own the process.
